Summary:
The California Film Institute is looking for a Development & Communications
Assistant to provide administrative and on-site support to the Development
department in the run up to and during the 31st annual Mill Valley
Film Festival. This individual will play a large part in fulfilling
benefits for major in-kind and cash Sponsorships agreements with
local, regional and national businesses and media. Excellent attention
to detail and a can do attitude is required for this position.This position is an excellent opportunity for a hard-working and
motivated individual to gain valuable experience at one of the foremost
Film Festivals in the country. This opportunity presents individual
growth opportunity in both the corporate and non-profit world.Responsibilities include:
- Providing administrative support for activities within the Development
Department.
- Ensuring accurate, well-documented tracking of sponsors, and
associated requirements and benefits on the master spreadsheet.
- Create an advertisement schedule with development team.
- Create daily timelines of sponsorship activity during the Festival.
- Collecting and tracking sponsors’ recognition for print,
events, tickets, electronic and product placement.
- Supporting on-site hospitality and sponsorship activation at
the Festival
- Support breakdown and delivery of all Sponsorship signage on
site at the Festival. Ensure all banners, signs and other items
are stored or sent back, as appropriate.
- Administering final reports and thank you letters post Festival.
- May include management of Festival development interns and volunteers.

Trainee: In this unique program we are looking for people who love
film, have a good attitude, enjoy working with a team and are ready
for a new challenge.
I have been working in theater projection booths for over 25 years
and I still find it a fun and exciting environment, especially
during a film festival. The projectionist is the final link in a long
chain of talented people who bring a movie to an audience. Though
it’s wonderful to be apart of this artistic collaboration,
it’s also a great responsibility. As that final link,
all the hard work of literally hundreds of others can be destroyed
if we don’t do our part correctly.
Today’s festival projection booths are very different then
they were only a few years ago. Where as the majority of titles
were on 35mm film with a few on 16mm and video, today there is no
16mm and 40% of the movies are in some video format. There
is a video projector in every booth and along with them have come
the multiple playback sources to power them, e.g. HDCam, DVCam, BetaSP,
DigiBeta, DVD, Computers, etc. Today’s projectionist
must understand how to operate all these devices and how to patch
them into the video projector and sound system.
But one thing has not changed and that is the experience the audience
expects when they come to the show. What we do in the booth
must be invisible to our guests. A large part of what we will
work on in this program is presentation. Each screening is
an event and we will work on making the show flow seamlessly.
Every film festival in the Bay Area and around the country needs
qualified projectionists. The skill set you walk away with
after the Mill Valley Film Festival will be very valuable indeed. What
you learn will also translate into projectionist position at most
commercial theaters.
Because of this, and the amount of time and effort needed on our
part, the training period will be treated as an internship with
no pay. You will also be asked to commit to working the 31st
Annual Mill Valley Film Festival, which will pay at the standard

To participate in this program:
- Must be at least 17 years old.
- Must have a good attitude and a desire to learn.
- Must be able to lift at least 50 pounds.
- Must commit to train in projection booth 60 hours over a 6-week
period as an intern.
- At completion of training must take exam for CFI Certification.
- Must commit to working the 31st Annual Mill Valley Film Festival
at the Rafael, Sequoia or 142 Throckmorton theaters Oct 2nd to
12th as needed.
- Those who pass the CFI Certification exam and are assigned as
projectionists will be paid $14/hour. Otherwise, you may
be asked to work in other areas at a lower rate as needed, e.g.
print traffic, print preparation, tech assistant, break-down & set-up
of special events etc.
- Those who become a CFI CERTIFIED PROJECTIONIST and perform well
during the festival will be added to our list of approved projectionists
to be shared with other film/video exhibition organizations. Those
who are on this list will be considered first for any openings
at the Smith Rafael Film Center projection booth, either at special
events or as a permanent replacement.

VOLUNTEER COORDINATOR
2008 Mill Valley Film Festival
Seasonal Position
Reports to Festival Manager Part Time August 12 – September
5, 2008 (3 days per week)
Full Time September 8 – October 24, 2008Summary:
This position will coordinate all volunteer
needs of the festival, working closely with the department heads. Essential Duties and Responsibilities:
- Actively recruit new volunteers and interns via Internet, schools
and universities, free community ads, etc.
- Continuously maintain and update the Volunteer FileMaker Database
for festival and year-round staffing needs.
- Update, produce and mail Volunteer Guidelines Brochure. Oversee
volunteer benefits including t-shirts, tickets, etc.
- Set up and implement a pre-festival volunteer needs system. Communicate
this system to the other departments and fulfill as necessary.
- Work with the different departments to ascertain their festival
needs and create with them the Sign-Up sheets.
- Plan and staff all volunteer sign-up sessions. Work with Special
Events Manager to provide refreshments for this event. Confirm
all sign-up sheets after the event.
- Work with Marketing and Operations to staff and maintain distribution
of festival schedules throughout the entire pre-festival sales
process in the Bay Area and at the venues during the festival.
- Plan and staff the Volunteer Orientation. Alert department
heads their role in the Orientation. Create and mail a
reminder post-card for Orientation Date, if needed.
- Contact departments to schedule non-conflicting Volunteer Training
sessions.
- Prior to and during festival, reconfirm each department’s
sign-ups the day before.
- Be on-site and on-call during the Festival to address any “no-show” situations,
plug any last minute cancellation holes, and notify departments
of any schedule changes.
- Solicit donations and prizes, plan event and mail invitations
for the Volunteer Party. This party is produced after the festival
completely with In-Kind Donor products, services, and venues. Communicate
with Development and Special Events Manager for their input on
venue, food, beverage, but this event is not under the purview
of the Events Producer. Schedule paid staff members to work the
Volunteer Party.
- Create and mail Volunteer thank-you and questionnaire.
- Finalizes all updates to the Volunteer Database/Mailing List.
- Creating and completing a Final Report, to be handed into the
Festival Manager by the last scheduled day.

- Assist Volunteer Coordinator in recruitment, training, scheduling
and all related coordination of the volunteers that provide support
to the Festival, during and prior.
- Provide administrative and computer (Macintosh) support to
the specific tasks assigned to Volunteer Coordinator. Some working
knowledge of FileMaker Pro helpful.
- Available on-site or on-call during the entirety of the Festival.
- Available to be on-site for evening volunteer sign-ups evenings
and one Saturday Orientation all day.
- Available to be on-site the Volunteer Party on Sunday, October
19.

Duties
must include:
- Primary responsibility is to answer all incoming phones in
a timely, courteous and efficient manner.
- Greet and assist visitors in the office.
- Basic office tasks on computer or otherwise for any other festival
or institute department, which does not interfere with primary
task of phone answering.
- Oversee organization of office and festival supplies pre and
post festival.
- Update and maintain and distribute current staff phone lists.

MERCHANDISE COORDINATOR

Part Time September 10 - October 1
Full Time October 2-14 (includes working weekends and nights)
- Working with Festival Manager and Finance Manager, design
a timeline, budget and strategy for increased merchandise sales
during festival.
- Merchandise items may include: t-shirts, sport shirts,
sweat shirts, light pens, bags, hats, posters. Other
items may be added or deleted, with approval of Festival Manager
and Executive Director.
- Aggressive solicitation attempt in procuring a T-shirt Sponsor
(or partial, or In-Kind Donor…) or any other product
(coffee mug, travel mug, etc.)
- Aggressively shop around for the most competitive pricing
on production deals.
- Develop a system for all departments to fill out a form specifying
their entire festival needs re: T-shirt counts, sizes etc. Format
the form, include a deadline that gives you time to process
your orders. Communicate this system to relevant departments.
- Work with Finance Director to ascertain the budget limitations
for each department.
- Develop a display design and execution with Festival Manager.
- Develop a comprehensive inventory tracking system, capable
of providing Finance Director an up-to the minute accounting
of all sales and comps.
- Work with Volunteer Coordinator to create the sign-up sheets
that reflect the needs of the two Merchandise locations and
any pre-festival volunteer needs.
- In coordination with Box Office Manager(s), create pre-festival
sales space/displays for Outdoor Art Club and Rafael Box Office. Staff
these with volunteers if necessary.
- Must be on-site at both BO venues for inventory replenishing/display
maintenance on an every other day basis. Provide responsive
on-call trouble-shooting support for these sales at all times.
- Recruit and hire an Intern, no stipend available.
- Be on-site during festival, splitting time between sites
between you and Intern.
- Provide sales status reports to Finance Manager during festival
on a tri-weekly basis.
- Balance cash receipts at each sales venue every evening. (Responsibility
may be shared with Intern).
- Ultimately responsible for all cash and credit card receipts
generated by merchandise sales.
- Be available to attend the Volunteer Orientation on (Date
TBD)
- Be available to attend and work the Volunteer Party on Sunday,
October 19.

THEATER STAFF

THEATER MANAGER (stipend)
Typical activities will vary according to the size and type of
theatre and the structure of the staff. However, tasks will
mainly include:
• Overseeing house manager*, line control captain**, and
volunteers
• Training of theatre staff
• Liaising closely with the venue's year round theatre
manager
• Responsible for reserved seating for Fast Pass holders,
sponsors, filmmakers and other VIPs
• Responsible for making sure the correct marquee and posters
are up
• Responsible for making sure the tech sheets are being
followed, trailers and interstitials are shown and that films,
panels and Q&A's start and end on time
• Liaising closely with all other staff, including Special
Events Manager, Programmers and Festival Manager on start and
end times for screenings and events
• Customer service point person for public questions and
complaints
HOUSE MANAGER (hourly rate)
• Clear theater after each screening so that staff can
clean.
• Before letting next audience in, be sure that:
1. Lights are on
2. All doors are propped open
3. Microphone is in place
4. Sponsor slides are on screen
5. Music is on
6. All reserve seat signs are in place
• Position volunteers to safeguard reserve seats.
• If filmmaker is present, introduce yourself to them.
• 15 min before show start identify any open seats, including
reserved filmmaker/sponsor seats, and report to Front of House
Manager.
• 5 min before show start, ask projectionist to put that
film’s sponsor slide up on screen.
• After rush seating is completed, and when person introducing
is ready, ask projectionist to turn music & slide off and
turn microphone on and run fanfare.
• Close theater doors.
• After introductions, and as film starts, remain in back
of theater with filmmaker to relay any audio or image adjustments
to projectionist.
• Remain at theater for a few more minutes to seat any
late arrivals.
• If there is to be any Q&A, be sure microphone is on
when film ends.
LINE CONTROL CAPTAIN (hourly rate)
• At start of day:
1. Check-in all volunteers and Auditorium Managers (A.M.)
2. Put stanchions and ropes out with signs
3. Set “Rush Line” signage out
4. Issue flashlights, radios and tech notes to A.M.
• Place volunteers at each theater door to check tickets
and hand out any literature
• Station volunteers on line outside to:
1. Tell ticket holders which show is seating next
2. To direct them to the Gold Circle or General line
3. Inform patrons that no outside food or beverages allowed
• Check with box office on each shows sales status
• If show is sold out send any non-ticket holding customers
to “Rush Line”.
• Hold audience outside until A.M. has checked in that
a room is ready.
• If filmmaker is present, have them ushered to their seats.
• If sponsor is present, have them ushered to their seats.
• Allow Gold Circle members and Fast Pass in first.
• Allow General ticket holders in.
• 15min before show start get an empty seat count from
A.M.
• 10 min before show start tell box office the number of “Rush” tickets
they can sell and send only that number of people from “Rush
Line” to box office
• Apologize to any remaining people in “Rush Line”
• Inform A.M. when “Rush” seating is completed.
• Rinse and repeat.
• Collect flashlights and radios from A.M. at end of night.
• Bring all stanchions, ropes and signage into lobby.

Part-time and full-time seasonal internships are available.
We are looking for candidates with minimum availability of one
full day a week from July 15th, 2008. Ideally candidates will
be able to offer more availability closer to the Festival dates
(2nd – 12th October).
Summary:
The California Film Institute is seeking interns to provide administrative

high level sponsors, individuals and in kind partners.
This internship is an excellent opportunity for a hard-working

country. Individuals will get a hands-on understanding of non-profit
organizations.
Responsibilities include:
• Providing administrative support for activities within
the Development Department.

Interns receive complementary tickets to the Mill Valley Film
Festival and the Smith Rafael Film Center as well as a CFI
membership.
Interns interested in non-profits will find this internship an
excellent learning opportunity. Previous interns have not only
worked in our offices during the planning stages, they have held
positions of responsibility during the Film Festival itself and
other California Film Institute events, received glowing letters
of recommendation, and the appearance of the Mill Valley Film
Festival on their resume has assisted them in obtaining jobs
in related fields.

MVFF COMMUNITY OUTREACH INTERN
Seasonal Internship
The Mill Valley Film Festival is seeking an intern to assist
with marketing specialized films to community groups. We request
that interns be available to devote a minimum of 8-12 hours a
week, Monday through Friday during normal business hours. Start
time August 1 continuing through the Festival Oct. 4 -14th.
Program Outreach
• Brainstorm with programming department to develop lists
of target audiences
• Write template letter to organizations
• Determine benefits package offered in exchange for cooperation
• Review calendar for niche marketing
Administration
• Review and update niche marketing plan
• Review contacts in marketing databases
• Update contacts that currently exist, including Consulates
• Develop calendar and timeline for mailings and email
blasts
• Develop final mailing lists and email lists
• Send out follow-up letters and emails
Direct Mail Campaign
• Develop flyers for specialized film
• Coordinate with Marketing and Publicity so that there
is no duplication of effort
• Send out letters in early September
Email Blast Campaign
• Develop email text for email blasts
• Send out first email three weeks before opening night
• Follow-up email one week before opening night
• Final email the day before the Festival opens
At Festival
• Meet with contacts at the theatre
• Serve as trouble-shooter as needs arrive
Post Festival
• Write thank you letters with Festival wrap & dates
for 2008 MVFF
Qualifications
• Must be highly organized and detail oriented with attention
to accuracy
• Comfortable working under pressure and driving deadlines
• Proficiency in Filemaker, Word on a Mac platform, design
experience with photoshop preferred
• Thorough understanding of the Internet
• Interest in Film
Compensation
This is unpaid internship, however course credit may be available.
There may be the opportunity to participate in special projects
according to each intern’s areas of interest or expertise.
This is a great opportunity to be introduced to film marketing
and promotions. Interns receive complementary tickets to the
Mill Valley Film Festival and the Smith Rafael Film Center
as well as a CFI membership.

MILL VALLEY FILM FESTIVAL EDUCATION INTERN
Seasonal Internship
Reports to Education Manager
The California Film Institute seeks an intern to support its
Education program during the 2006 Mill Valley Film Festival.
The intern would work closely with the CFI Education manager
on the Festival’s In-Schools Program. This is a fantastic
opportunity to learn about the inner workings of one of the top
film festivals in the country and to meet filmmakers in a one-on-one
setting.
We request that interns be available to devote a minimum of 8-12
hours a week, Monday through Friday. There will be a flexible
schedule during the festival.
Primary duties will include:
• Provide general programming support to the Education
manager for the Festival’s In-Schools program.
• Coordinate filmmaker visits to schools in Marin, San
Francisco and the East Bay.
• Assist with scheduling films
• Host filmmakers at the Festival’s In-Schools Program
events.
• Provide or arrange transportation for visiting filmmakers
• Additional duties as assigned
Qualifications:
Self motivated, energetic, film-wise, good with children and
teens
Compensation:
This is an unpaid internship, however course credit may be available.
There may be the opportunity to participate in special projects
according to each intern’s areas of interest or expertise.
Complementary tickets to the Mill Valley Film Festival, membership
with the California Film Institute, as well as other perks
will be included for your time. Intern will be compensated
for gas and tolls when transporting filmmakers.

MARKETING & PUBLICITY INTERN
Mill Valley Film Festival
Seasonal Position
Reports to MVFF Marketing Manager
The Mill Valley Film
Festival is now in its 31st year and is seeking an intern to
assist in the Marketing & Publicity
Department. This is an excellent opportunity to gain an intensive
work experience in a short amount of time, especially for those
thinking of a career in for-profit or non-profit publicity, public
relations, arts or entertainment industry marketing, advertising
or working in independent film.We request that interns be available
to devote a minimum of 20+ hours a week, Monday through Friday
during normal business hours from August through through October
31st. Scheduling of work can be flexible depending on candidate.
Primary duties:
• assist with compilation of publicity and marketing materials
for publicity partners and publications
• provide general administrative support to the Marketing & Publicity
Department (filing, faxing, copying, assist with mailings, sending
emails, researching contact names/numbers and general correspondence)
• assist with coordination and running of Festival Press
Conference
• help identify positive press coverage to promote Festival
• assist in scheduling in-house photographers during the
Festival
• assist in working with the Filmmaker Liaison to help
schedule filmmaker interviews with journalists
• help create and post news stories to MVFF website for “Seen
at the Festival” page
• assist in the preparation of press clippings; closing
packets for publicity partners, programming department and filmmakers
• assist Programming Department in the organizing publicity
materials and making video dubs
• additional duties as assigned
Qualifications:
• must be highly organized and detail oriented with attention
to accuracy
• previous marketing, business communications and/or publicity
experience helpful but not necessary
• self-starter with an ability to take ownership of project
and see it through to completion
• excellent verbal and written communication skills and
a good sense of humor
• comfortable working under pressure and driving deadlines
and meeting deadlines
• proficiency in Filemaker, Word and Excel on a Mac platform
• experience in graphic and/or Web design helpful but not
required
• thorough understanding of the Internet and its use as
a marketing and promotion tool
• interest in independent films useful but not required – please
note that this is not a film production internship
• positive, “can-do” attitude essential
